Just after some advice on how other members do this...
Say someone takes out a sidbar ad for 1 year for instance a 125 x 125 box or a header ad. Do you guys use any sort of diary software to alert you when the ad is about to run out.? I know you can set the lengh of a particular ad in the admin area, but how do you monitor ads placed in the sidebar.?

I love to help out you out but please read this first Have you tried to install in a root domain? Have you tried to Resave permalinks? Have you tried to disable all plug in? Have you tried the default theme of Wordpress?
