Seek the Vantage Processing & Action Business Flow HELP

After I exhausted my research and documentation I would like to know if anyone can send me the process flow of what happens when we get an event, listing, etc.. For some reason I have done everything possible under God but yet I have either listings or events which I see in my system, yet Paypal does not register them.. They are simply sitting there. I don't receive any notifications, etc.

I would like to know the step by step process of what happens after a client registers on the system and creates either a listing and or an event. What and when do I interract, and click on what button in orders and then what and when do I approve a listing or an event. I am now completely blind and even after I "Mark Completed" the order then I am not sure when do I approve it? Do I wait on something else - I am completely blind for sometime now and either something is definitely wrong or not sure what else to do but I would like to have this process flow at least to know if I should interfere or what else should I do and when?

Because let's say that there is something fishy about the client's payment - and the process does not run "as designed or normal" but as Admin I should still have a clue as to what to do next and I have no idea.. There is no documentation about this process flow... I am very frustrated...
